NDSA Outreach Working Group Conference Call December 10, 2010

On call: Lisa Gregory, Deborah Rossum, Jaime Stoltenberg, Carol Minton Morris, Pete Watters, Kat Hagedorn, Katrina Harkness, Michelle Gallinger, Barrett Jones, John Spencer, Glenn Cook

The call opened with a review of the minutes of the Nov. 30, 2010 call. Daniel Cornwall has volunteered to chair the “Mission” action team, which has been renamed the “Statement of Purpose” action team.

Carol Minton Morris presented what the Outreach WG will report as its goals and actions during the NDSA Organizing meeting in DC Dec.15/16. Here is what the group plans to report:

1. We are in general agreement that we should undertake a two-pronged approach to creating an ongoing national public awareness campaign to gain public mindshare and action in support of National Digital Stewardship Alliance outreach goals:

a. The Outreach Working Group of the National Digital Stewardship Alliance will focus on building relationships with stakeholder communities and preparing and sharing digital preservation information resources. This includes: Identifying and assessing tools the NDSA community needs for communication; Identifying and promoting key digital preservation information resources; Defining opportunities for outreach within the NDSA and to the community beyond.

2. The two prongs are, 1: A high-level, national effort with appropriate partners, such as the Ad Council and, perhaps, other cultural heritage organizations as well as groups which are actively involved in creating infrastructure for preserving our digital heritage for future generations.

And, 2: A series of hands-on marketing, outreach and communications efforts based on the resources, tools, best practices and skills committee members have on hand “in their hip pockets.”

3. To frame and scope a two-part National Public Awareness campaign we have established three action teams which will be highly interactive with one another:

Statement of Purpose Team, chair Daniel Cornwall What is the overarching mission, goal and message of this campaign? How will the overarching message be sliced and diced to appeal to different audiences? How will we know when we have succeeded in fulfilling our mission? What overall and far-reaching changes in how digital preservation “operates” in homes, schools and libraries are possible?

Audience Team What are the different audiences for digital preservation information? What actions do we want them to take? What are likely vehicles and methods for reaching audiences that could include various age groups, educational levels and professions?

Outreach Resources Team Will gather existing outlets for disseminating information, concentrating on those that are already successfully providing information about digital preservation, while exploring interesting, creative venues for spreading the message.

4. Next steps will include establishing a collaborative online workspace, developing a set of likely partners in a national campaign, and setting a timeline for action team reports. It is our expectation that an overall timeline and steps towards launching a national campaign will emerge from action team recommendations.

John Spencer noted that the work of the “Outreach Resources” team may have duplication in some way with work being done by the “Standards” working group. John volunteered to act as the liason with the “Standards” team to ensure that effort is not duplicated. Some of this will also come out during discussions during the Organizing Meeting in DC.

Deborah Rossum volunteered to participate on the “Statement of Purpose” action team, while Jaime Soltenberg and Lisa Gregory volunteered to participate on the “Audience” team. Thanks!
