Preliminary Call to discuss potential NDSA regional meetings 1/9/14, 1:00pm ET

Participants: Drew Vandecreek (Northern Illinois U.), Lynne Thomas (Northern Illinois U.), Stacy Erdman (Northern Illinois U.), Erin Engle (Library of Congress), Jaime Schumacher (Northern Illinois U.), Carol Minton Morris (Duraspace), Butch Lazorchak (Library of Congress)

The group discussed the possible of a similar set of activities in San Francisco in the May/June 2014 timeframe in conjunction with NDSA partners in the regional, most specifically the Internet Archive. POWRR has been utilizing free IA resources in its training with local Illinois memory organizations, and an event that partners with IA could build on that training.

Reminder: June 9-13 is Open Repositories conference which has strong participation for NDSA members.

Discussed format of the meeting.

  • Day 1 – POWRR workshop & evening reception
  • Day 2 – NDSA regional meeting for members (Show off work of local NDSA members and others)

POWRR project is looking at promoting archive.org as the place where small historical societies and history centers can store their digital content. Many of these organizations have to do DP but have no money.

IA in Inner Richmond neighborhood, not great for parking or public transit. Possible locations: California Historical Society, California Pioneer History Museum, possibly flying in. BART accessibility is key. IA not accessible by BART. Downtown SF good by BART. Oakland would be good. Oakland Museum. Oakland Public library? San Francisco public library? Need to contact CDL.

Ideal location and space would somewhere central or easy to get to by car.

Size requirements:

  • POWRR Workshop – 30 people. Need space and tables where people can set up laptops.
  • Regional Meeting – 100 ppl ??, depends on size of space.

Suggested locations:

  • Internet Archive
  • California Historical Society
  • California Pioneer History Museum (?)
  • Oakland Museum
  • Oakland Public Library of Congress

Society of California Archivists meeting is May 8-10.

POWRR workshop June 19 in Las Vegas, pre-conference in conjunction with ALA.


Actions: Send out the agendas from Boston, NY and Philly

Decide the type of meeting and program and then seek out a host location.

Target May / June

Need to loop in CDL folks.

People with contacts at suggested locations or other places should start to inquire about dates, event space, etc.

  • Message from Scott Reed from IA:

I just wanted to follow up regarding the Bay Area regional meeting call with a couple of details about the San Francisco Library Main Branch meeting rooms, which I think could work well for the event.

The "basement" has a public cafe area, a large auditorium that can accommodate around 200 people, as well as a smaller room that could work well for the power workshops (I think they can also be divided into two rooms). I've attended many many events at these spaces and they are quite nice. The library has a BART stop right next to it and many bus lines around, but parking can be a pain. For out of town guests the community around the library can be a bit jarring, but, you know, it's a public library in San Francisco....

(this room can probably have tables and chairs arranged to meet whatever needs of the workshop)

I asked a friend about California Historical Society and while I have not seen their meeting rooms first hand, it seems like they may be too small for our needs.

May/June will probably not work, too soon.

John says "not totally a free-for -all." Suggests that a mixture of presentations and more open-ended materials. Combine case histories, stories from members, assistance with the Agenda, etc.
