NDSA Regular Monthly Meeting
March 13, 2013
Teleconference

Agenda

1) Amy Rudersdorf has stepped down from the NDSA Coordinating Committee. Options for filling that spot include:

  a. Runner up from last election. Results were announced in December 2012, and Jonathan Crabtree of the Odum Institute was the runner up of that election. We could announce to the NDSA-ALL listserv that the runner up will serve the remainder of Amy’s term on the Coordinating Committee.
  b. Special election. We could hold a mid-term special election. This is challenging as it requires extra administrative effort and also requires engagement from the NDSA members.
  c. Waiting until fall election period (October/November). Election of new CC members has typically been held in the fall. When Glenn stepped down we waited to include his position in the fall election, however, he stepped down only 6 weeks from the regularly scheduled election date. Given how far out we are from our normal elections this might not make sense.

2) 2014 National Agenda for Digital Stewardship progress: Are we on track? What is needed to get us on track?

3) Review and refine plan for March 26-27 calls.

We have two 3 hour calls. Does the following sound right for how we want to use that time? Note: this is a review of our plans for those calls. We will not discuss these topics on 3/13.
  a. The 2014 National Agenda
     i. Review Sections:
Intro, Trends in Digital Content, Research Priorities, Infrastructure Developments, and Organizational Roles, Policies, and Practices
     ii. Discuss organization:
Should some issues be put under different topic heads?
     iii. Refinement:
Do we have enough issues? Too many? What should we highlight/emphasize? What should we save for another piece?
     iv. Conclusion discussion:
What are the top things this group would like to have included in the conclusion?
  b. Secretariat Reports Administrative Issues:
     i. NDSA Membership and MOU
        1. Addition of termination for convenience clause
        2. MOUs up for renewal this year. Will launch effort to have them signed by June 2013.
        3. Automatic renewal: "The term of this Agreement will commence on the date of the last signature, below, and will continue for three years. The term will automatically renew at that time, unless modified by written agreement of the parties. The parties agree to review the Agreement prior to the automatic renewal, and to provide written advance notice if they do not want to renew the agreement. Party representatives are designated on Attachment A. Institutional contribution to the NDSA is governed by the terms and conditions are provided in Attachment B. Attachments A and B are incorporated herein."
ii. Reporting – Trends and hours
  c. July meeting – comments, input, and ideas
